Why Is My Printer Offline and How to Fix It?

Before jumping into fixes, it helps to know what is causing the problem. Here are the most frequent reasons your printer may be showing an offline status:

  • Wi-Fi or Network Connection Problems: Your printer and computer must be connected to the same Wi-Fi network. On dual-band routers, a common mistake is having one device on the 2.4GHz band and the other on 5GHz. Any network disruption can cause the printer to drop offline.
  • “Use Printer Offline” Mode Accidentally Enabled: Windows has a built-in setting that manually puts a printer into offline mode. If this is accidentally checked, all print jobs will be blocked.
  • Outdated or corrupted printer driver: Drivers facilitate communication between your printer and computer. Drivers may become incompatible following a Windows update, making the printer appear offline.
  • Stuck Print Queue or Print Spooler Issue: A backlog of failed or paused print jobs can freeze the print spooler service, making the printer appear unavailable.

A Step-by-Step Guide to Fixing Offline Printers

Here’s how to solve printer offline problems, starting with the easiest fixes. Work through each step in order until your printer is back online.

Step 1: Turn off and on your printer and router.

Unplug your printer and turn it off. Before plugging it back in and turning it on, give it at least 30 seconds. If you are on Wi-Fi, restart your router as well. This clears temporary communication errors and is often all it takes.

Step 2: Check Your Cable and Wi-Fi Connection

Make sure the USB or Ethernet cable for wired printers is securely fastened at both ends and has no visible damage. Make sure your computer and printer are connected to the same Wi-Fi network and band (2.4GHz or 5GHz) if you have a wireless printer. If your Wi-Fi password was recently changed, update the credentials on the printer as well.

Step 3: Disable “Use Printer Offline” Mode

This is one of the most overlooked fixes. Windows can accidentally be set to keep the printer offline. To verify it and turn it off:

  1. Go to Start > Settings > Devices > Printers & Scanners (Windows 10) or Settings > Bluetooth & devices > Printers & scanners (Windows 11).

  1. Go to Settings > Devices > Printers & Scanners (Windows 10) or Settings > Bluetooth & devices > Printers & scanners (Windows 11). 
  2. Select your printer and click Set as default.

This ensures all print jobs are sent to the correct device, especially in households or offices with multiple printers on the same network.

Step 5: Clear the Print Queue

Stuck jobs in the print queue can stall the print spooler service and make the printer appear offline. To clear it:

Windows 10:

  1. Go to Settings > Devices > Printers & Scanners 
  2. Select your printer, and click Open queue. 
  3. Cancel all pending jobs from the Printer menu. 

Windows 11:

  1. Go to Settings > Bluetooth & devices > Printers & scanners, 
  2. Select your printer, 
  3. Click Open print queue, 
  4. Then select the ellipsis (⋯) and choose Cancel all. 

If jobs remain stuck, press Windows + R, type services.msc, locate Print Spooler, right-click, and select Restart.

Step 6: Update or Reinstall the Printer Driver

An outdated or corrupted driver is a leading cause of the printer offline error, particularly after OS updates. To perform a full printer driver update and reinstall:

  1. Open Device Manager 
  2. Expand Printers or Print queues, 
  3. Right-click your printer and select Update driver.

If the issue persists, right-click again, select Uninstall device, restart your computer, then download and install the latest driver from the manufacturer’s website.

Step 7: Remove and Re-Add the Printer

If none of the above steps have worked, removing and re-adding the printer forces Windows to rebuild the connection from scratch:

  1. Go to Settings > Devices > Printers and Scanners.
  2. Click your printer and select Remove device.
  3. Restart your computer.

To reinstall the printer, click Add a printer or scanner and follow the on-screen instructions.
